Make every speaker easy to hear
A sound recordist looks after microphones and checks the recording while filming takes place. Tell us how many people will speak, whether they will move around and how noisy the location may be. For a conference, introduce the crew to the venue sound team so they can discuss the audio feed.
Give lighting enough time and space
Lighting can make an interview room look better and keep the picture consistent as daylight changes. Send photographs of the room and explain the look you want. Check when the crew can enter, where equipment can go and whether furniture can be moved.
Check what is included
Say whether the venue or your team will supply microphones, lights or other equipment. The quote should make clear what the crew will bring. If speakers or sessions run at the same time in different rooms, flag this early so the right number of people can be planned.
