Arrange a call with the crew to discuss the questions, shot list and examples you like. Decide how you will join the shoot and whether you need to see a live camera picture. Test the connection and confirm the local start time. A named contact at the venue can help with access and finding speakers.
Keep feedback clear
Choose one person to give the crew final instructions. If several colleagues join the call, gather their comments before passing them on. Check the first interview setup together so framing, sound and lighting are agreed before the speaker starts.
Plan how the files will reach you
Agree who copies the footage, how it will be sent and who checks that everything has arrived. Large camera files can take time to transfer. If you need a quick preview or smaller files for review, request them before filming rather than at the end of the day.
